Position Summary

WESTMED Practice Partners is hiring for a full time Health Information Management (HIM) Associate position. Position will be on-site at our Purchase, New York location with flexibility to travel to our other local sites as needed. Positon schedule is Monday to Friday 8:30am to 5:00pm. The HIM Associate is trained in all areas of the HIM Department. He/she is responsible for accepting authorizations for release information (ROI) from patients walking into to the office, assisting patients filling out ROI authorizations in accordance with HIPAA, State and Federal Law, accepting payments from patients, and scanning and indexing to the EMR.

Essential Job Functions & Responsibilities

  • Understands of the Release of Information (ROI) process, including HIPAA compliance and Organization Policies and Procedures.
  • Answers phone calls in a timely, proficient manner in accordance with HIM Policies and Procedures.
  • Greets patients in person and via telephone in a professional manner in accordance with WESTMED Customer Service standards.
  • Reviews authorizations for ROI to ensure validity according to HIPAA guidelines.
  • Determines charges and forwards invoice to the responsible party.
  • Processes requests for ROI in an appropriate, timely and accurate manner that is consistent with HIM Department Policies, Procedures and guidelines.
  • Assists patients in completing authorizations.
  • Burns medical record or radiology images to CD if requested.
  • Respond to patient balance inquiries at reception desk by reviewing charges and payments in Centricity Business.
  • Accepts and accurately posts patient payments.
  • Preps, scans, and indexes documents into the EMR.
  • Prepares documents for scanning by removing staples, tape, paper clips, and torn pages and by ensuring patient name and account number are documented on each page/side.
  • Proofs documents for record accuracy using extreme attention to detail.
  • Ensures each document is indexed to the correct patient, physician and date of service within the EMR.
  • Follows all departmental policies, procedures and performance standards for all documents relative to Release of Information (“ROI").
  • Merges former practice records.
  • Sorts mail.
  • Meets productivity and quality goals/standards as set by the Department.
  • Supports HIM departmental productivity requirements through all processes, including prepping, scanning, indexing, and ROI as necessitated by volume and/or staffing levels.
  • Assists with packing up of charts and lifting boxes weighing 20-30 lbs.  
  • Assists with other general office duties as needed.
  • Maintains the confidentiality of all patient, client, and facility information at all times, both while on and off duty.
  • Adheres to health information regulations including HIPAA, AAAHC and CMS as applicable.
  • Follows all Organization Policies and Procedures.




Required Qualifications

  • High School Diploma or equivalent required
  • Associate Degree in HIM preferred
  • Prior medical office experience required
  • Billing experience preferred
  • Experience using basic computer programs and office equipment and good typing skills required
  • Knowledge of release of information procedures and medical terminology preferred
  • Strong customer service skills, organizational skills, ability to multitask required
  • Must be able to read, write and understand English
  • Strong organizational skills, able to multitask and great attention to detail required
  • Work independently and as a member of a team
  • Bilingual Spanish preferred
